Overview

Supervise warehouse and road feeder vendors to maintain service levels for the Polar cargo network.  Supervise the remote handling facility to accept cargo, build cargo according to capacity management instructions, send cargo to the ramp operation according to priority, maintain all information in CargoSpot, transmit reporting on cargo status, and interact with customers as required.  Handle all FAA, TSA, US Customs, and other regulations associated with cargo buildup, chain of custody, cargo inspections, manifesting, and in-bond processing.  Support the flight operation at CVG and assist by representing flights airside.

Responsibilities
  • Identifies and rectifies immediate problems.
  • Responsible for maintaining, supporting and improving the overall station operation to support all business units of the company.
  • Responsible for station compliance of all safety regulations and requirements pertaining to the station, Warehouse, aircraft, facilities, equipment and personnel.
  • Responsible for achieving all ground operations and corporate goals as related to performance, safety, service, and regulatory compliance. Ensures all employees and vendors are aware of station and corporate goals and expectations
  • Monitors weight billed to actual weight, completes CCA’s and notifies appropriate company contracts.
  • Identifies loss of pallet/nets/straps, researches reasons and notifies management and/or corporate of losses and/or reasons.
  • Monitors accuracy and completeness of pallets/nets/straps control of information and ensures inaccurate information is updated and any underlying issues are resolved.
  • Monitors data entry accuracy and completeness, corrects inaccurate information and ensures any underlying issues are resolved.
  • Ensures the safety of aircraft and crews by preventing aircrafts damage;
    • Ensuring proper loading and weight and balance preparation, including nets and locks.
    • Ensuring HAZMAT is handled correctly, including re-loading and paperwork.
  • Ensures that employees and/contractors adhere to company and governmental safety regulations and procedures.
  • Monitors employees and/or contractors compliance with regulations and procedures pertaining to vehicle safety.
  • Ensures that terminal services perform tasks for aircraft to arrive and depart as scheduled.
  • Ensures company customers receive correct freight at appropriate locations within necessary time frames by making certain that freight and paperwork are handled correctly, including freight check-in and paper.
  • Monitors and evaluates work performance of all company employees assigned to the station.
  • Interfaces with local airport authorities to ensure company compliance with all local policies. Ensures monthly reports are submitted to local airport authorities as required
  • Creates and environment that encourages teamwork by:
    • Establishing and maintain working relationships with handlers, terminal maintenance staff and/or contract personnel
    • Informing management of unique or difficult situations.

Qualifications
  • High School diploma
  • Six years aviation experience including:
    • Ops Agent experience
    • Weight and Balance experience and ability to become current on PO/5Y system.
    • Dangerous Goods experience and ability to become current on PO/5Y system.
    • Prior experience with a scheduled service operation.
  • Understanding of PAX/Cargo Operations and Airfreight business
  • Ability and flexibility to travel domestically and internationally

Overview

The Customer Resolution Agent (CRA) is responsible for the efficiency in the overall cargo management warehouse processes to minimize operational hindrances for both import and export cargo.  They work interdepartmental to act as the liaison between Ground Operations, the warehouse, Sales and Customer Service.  The CRA works on ground in warehouse to manage cargo backlog, warehouse on-hand inventory, track and tracing, and acts as a cargo acceptance facilitator. 

Responsibilities
  • Bridge between Ground Operations and Sales and Customer Service by physically present in the warehouse to maintain, support and improve the overall warehouse processes
  • Identify, rectify and follow up on immediate problems by efficient communications with Customer Service, Sales, Ground Operations and any external parties in real time for any discrepancy or abnormalities that can impact a customer
  • Facilitate Ground Operations Acceptance process, freight allocation and pallet build-up to ensure any necessary paperwork or issues are resolved quickly and effectively
  • Ensure all IRR, Discrepancies and OS&D’s are properly actioned in the appropriate system(s) and documented where required
  • When possible, avert and/or diffuse potential problems with irregular cargo
  • Daily monitor and preparation of backlog, on-hand and tracing management reports across multiple warehouses and systems
  • Keep the team informed of any changes and ensure any displaced shipments are rescheduled
  • Work with operations to keep track and monitor movement of on hand shipments and differed cargo
  • Work with Sales team to help prioritize and keep high visibility/revenue shipments on schedule
  • Generate weekly report for all flight results from previous week with detailed information regarding any IRR
  • Maintain a log with detailed information of all operational issues
  • Complete and/or maintains reports, messages, files logs and forms
  • Shift work covering weekends and midnights are required, subject to flight schedule

Qualifications
  • High school or above academic qualifications
  • A minimum of two years of airline customer service or cargo-related experience, with understanding on air cargo industry and competition, and aircraft cargo loading capacities would be highly preferable
  • Demonstrate proficiency in MS Office (Excel, Word, Teams)
  • Demonstrate proficiency with IATA process and procedures
  • Understands and use company reports utilized by customer service, and adaptive to new innovative projects and platforms

Overview

Keep track, monitor and maximize revenue generated at the Polar Air Cargo warehouse near the Cincinnati airport (CVG) and act as the primary point of contact for revenue reconciliation. Review trucking invoices for accuracy and ensure billing is accurate.

Responsibilities
  • Oversee the daily import and export operations in regards to data entry, document control, and customs reporting.
  • Responsible for the development and continuous improvement of procedures for the calculation and collection of revenue for import service fees, storage fees and other fees and ensure data in CargoSprint and CargoSpot are accurate.
  • Act as the point of contact for CargoSprint for CVG, give access to CargoSprint to users.
  • Track and report cargo volumes handled for customers. Instruct cargo handling vendor on the process related to revenue capture and reporting, to ensure the accurate revenues are captured for the company for billing purposes.
  • Collaborate with Accounting Department to ensure invoices are processed in a timely manner and accurately and resolve any discrepancy between billing and cash receipts.
  • Document process in narrative, required for Sarbanes Oxley, and review it periodically.
  • Advise Station Manager of the work status of any issues or discrepancies, such as labor issues, workflow issues, and government issues that cannot be easily resolved by a supervisor.
  • Partner with Road Feeder Service (RFS) team on invoice reconciliation. Review refuted invoices in Descartes, and work with carriers, local station management, and RFS personnel to reconcile differences between invoice rates and contract rate.
  • Work with Accounts Payable to ensure invoices are updated accordingly for proper payment amount and entered correctly.
  • Review weekly report from a trucking vendor for discrepancies and update Descartes accordingly for chargeable weight, accessorial charges, etc.
Qualifications
  • Bachelor’s degree or equivalent work experience in airfreight operations and reporting 
  • 3-5 years of experience in airfreight operations and reporting
  • Experience formulating and filing cargo handling reports
  • Knowledge of CargoSpot or equivalent Cargo Management software required
  • Cargo handling experience is a plus.

Overview

Develops and maintains agent/forwarder accounts in order to maximize revenue generation to Polar Air Cargo.

Responsibilities

Responsible for all aspects to the individual flight planning out of the Americas, including enforcing cut off times, tracking and planning of tendered cargo. Responsibilities
  • Oversees air cargo load allocation to stations.
  • Supervise, coordinate and communicate any last minute change for all pre-flight arrangements with different stations, including operations and sales team to maximize utilization of cargo load.
  • Ensure that best strategies to attempt to predict and avoid capacity planning gaps are followed.
  • Oversee post-flight and daily reporting.
  • Tactically avert and/or diffuses potential logistics issues with tracking or planning of tendered cargo.

Overview

 Supports the customer service team that directly interacts and communicates with customers in a courteous, efficient, friendly, compliant and professional manner.  Responds to customer complaints, providing appropriate solutions and alternatives within the expected time limits, including customer-focused import functions. Follows-up to ensure resolution and reports to the department manager. Follows and implements communication procedures, guidelines and policies.  Provides guidance to the team on more complex situations and ensures standard operating procedures are followed.

Responsibilities
  • Leads all activities related to the Customer Service department that supports non-initial booking functions (re-booking, cancellations, no-shows).
  • Responsible for escalated incidents, when possible, averts and/or diffuses potential customer problems.
  • Ensures proper identification and communication is occurring when problems in network disruptions arise to the team for proper action.
  • Ensures all responses to the customers are answered in a timely manner based on Key Performance Indicator requirements.
  • Ensures timely response to emails, calls and call-back from customers, vendors, carriers and internal network.
  • Maintain, create, update and/or utilize customer and/or freight reports and information.
  • Liaise with all other Polar Air Cargo inter-departments and business groups as necessary.
  • Monitors and communicates tracing of missing cargo and following up on tracers.
  • Prepares reports, maintains logs and departmental filings; completes and sends Cargo Correction Advice (CCA).
  • Provides guidance to the team as a liaison between the customer and the internal teams not limited to: Customer Resolution Team (CRT), Sales, Ops, Flight Planning, RFS, & Regulatory Compliance to help determine the most accurate booking status.
  • Maintaining working relationships with employees in other pertinent departments, such as Ground Ops, and Sales, to obtain and/or provide information.
  • Leads and maintains an environment that encourages team work by:
    • Informing the team and Manager of unique or difficult situations.
    • Providing ongoing support, assistance and information to customer service staff, and management.
  • Fosters procedural excellence to identify, research and implement policy and best practices.
  • Follows employee guidelines and meets all expectations (schedule, dress code, performance, completing all training, safety, goals for the year, etc.).
Qualifications
  • Bachelor degree or a combination of work experience with high school graduation.
  • 4+ years of experience in similar role required.
  • Demonstrates proficiency in MS Office (Excel, Word, Teams), IATA, and Cargo Management Systems
  • Must have understanding of aircraft cargo loading capacities.
  • Understands and adheres to company policies and procedures.
  • Must have understanding of air cargo industry and competition.
  • Computer-savvy with a working knowledge of cargo systems.

Overview

Execute Polar Air Cargo’s capacity management process. Responsible for all aspects to the individual flight planning out of the Americas, including enforcing cut off times, tracking and planning of tendered cargo. Ensure daily capacity management process of cargo booking and planning process that plans for yield, and customer’s priority.

Responsibilities
  • Assist in air cargo load allocation to each station by constructing allocation table for various routes.
  • Identification and proactive communication of the need for cargo when necessary to fill flights.
  • Serve as a liaison between concerned internal and external parties to ensure all aircraft load under correct priority.
  • Coordinate, communicate and response to any last minute change for all pre-flight arrangements with different stations, including operations and sales team, to maximize utilization of cargo load.
  • Generate post-flight reports and daily reports for billing and management analysis.
  • Map out transit plans for all cargos to ensure all air waybill arrive at correct destination.
  • Monitor all network/schedule related activities on tactical and strategic basis.
  • Verify US Sales/Reservation team Cargo Booking Advice (CBA) and priority list.
  • Coordinate with offline sales offices for logistics planning to feed cargo to the major gateways.
  • Send overview capacity outlook with DHLE trending.
  • Response to any potential schedule change and initiate schedule change request if necessary.
  • Work closely with HKG Global Capacity Management team for the intra-Asia capacity.
  • Maintain and audit flight performance data.
  • Use best strategies to attempt to predict and avoid capacity planning gaps whenever possible.
  • Tactically avert and/or diffuse potential logistics issues with tracking or planning of tendered cargo.
  • Responsible for building, creating and enforcing a cargo movement strategy that optimizes the available capacity across the Americas.
  • Work with Ground Ops on both planning and issues with freight allocation and pallet build-up.
  • Communicate and monitor with Customer Service and Network Planning on any cancelations, addition of flights and flight allocations.
  • Works with Global Capacity Management (GCM) Team on geographic allocations.
  • Controls and manages the capacity in case of full flights due to space restrictions or open space due to downswing.
  • Monitor KPIs used to ensure constant improvement of Capacity Management.
  • Participates with internal and external communication calls as they relate to capacity, allocation, operations yield management and sales discussions.
  • Daily monitor and preparation of flight utilization reports (Backfill, Voids, Underload, Opportunities, Payload restricted lanes, irregularities, shortfalls, up/down swing, yield and load factor).
  • Provide Sales team their corresponding flight allocations by region.
  • Keep the team informed of any changes and ensure any displaced shipments are rescheduled.
  • Work with operations to keep track and monitor movement of on-hand shipments.
  • Work with the sales team to help prioritize and keep high visibility/revenue shipments on schedule.
  • Provide sales team update on flight utilization, lost opportunities, and lanes that need support.
  • Work with the global capacity team to understand movement of cargo on various lanes & their restrictions.
  • Weekly generated report for all flight results from previous week with detailed information regarding utilization to management.
  • Maintain a log with detailed information of all operational issues with flights and allocations.
  • Interact and work closely with Ground Operations (GOPS) and Sales for optimal interdepartmental communication flow.
Qualifications
  • High school degree or equivalent work experience.
  • Three years airline customer service or cargo-related experience preferred.
  • 2-3 years of work experience in air freight movement and yield strongly preferred.
  • Demonstrates proficiency in MS Office (Excel, Word, Teams).
  • Demonstrates proficiency with IATA process and procedures.
