Overview

Assist the Supervisor in supervising the warehouse vendor to maintain service levels for the Polar cargo network.   Ensure that the warehouse is accepting cargo, building cargo according to capacity management instructions, send cargo to the ramp operation according to priority, maintain all information in CargoSpot, transmit reporting on cargo status, and interact with customers as required.  Handle all FAA, TSA, US Customs, and other regulations associated with cargo buildup, chain of custody, cargo inspections, manifesting, and in-bond processing.  Support the office functions at ORD

Responsibilities
  • Supports the Supervisor in Identifying immediate problems.
  • Support the station operations by answering questions from the vendor
  • Ensures station compliance of all safety regulations and requirements pertaining to the station, Warehouse, aircraft, facilities, equipment and personnel.
  • Assist in achieving all ground operations and corporate goals as related to performance, safety, service, and regulatory compliance. Ensures all employees and vendors are aware of station and corporate goals and expectations
  • Monitors weight billed to actual weight, completes CCA’s and notifies appropriate company contracts.
  • Identifies loss of pallet/nets/straps, researches reasons and notifies management and/or corporate of losses and/or reasons.
  • Monitors accuracy and completeness of pallets/nets/straps control of information and ensures inaccurate information is updated and any underlying issues are resolved.
  • Monitors data entry accuracy and completeness, corrects inaccurate information and ensures any underlying issues are resolved.
  • Ensures the safety of aircraft and crews by preventing aircrafts damage;
    • Ensuring proper loading and weight and balance preparation, including nets and locks.
    • Ensuring HAZMAT is handled correctly, including re-loading and paperwork.
  • Ensures that contractors adhere to company and governmental safety regulations and procedures.
  • Monitors employees contractors compliance with regulations and procedures pertaining to vehicle safety.
  • Ensures that terminal services perform tasks for aircraft to arrive and depart as scheduled.
  • Ensures company customers receive correct freight at appropriate locations within necessary time frames by making certain that freight and paperwork are handled correctly, including freight check-in and paper.
  • Interfaces with local airport authorities to ensure company compliance with all local policies. Ensures monthly reports are submitted to local airport authorities as required
  • Creates and environment that encourages teamwork by:
    • Establishing and maintain working relationships with handlers, terminal maintenance staff and/or contract personnel
    • Informing management of unique or difficult situations
Qualifications
  • High School Diploma
  • Previous airline experience preferable

Supervisor, Ground Ops Revenue Reporting Ground Operations Hebron, KY Polar Air Cargo 01-13-2022 4054
Overview

Keep track, monitor and maximize revenue generated at the Polar Air Cargo warehouse near the Cincinnati airport (CVG) and act as the primary point of contact for revenue reconciliation. Review trucking invoices for accuracy and ensure billing is accurate.

Responsibilities
  • Oversee the daily import and export operations in regards to data entry, document control, and customs reporting.
  • Responsible for the development and continuous improvement of procedures for the calculation and collection of revenue for import service fees, storage fees and other fees and ensure data in CargoSprint and CargoSpot are accurate.
  • Act as the point of contact for CargoSprint for CVG, give access to CargoSprint to users.
  • Track and report cargo volumes handled for customers. Instruct cargo handling vendor on the process related to revenue capture and reporting, to ensure the accurate revenues are captured for the company for billing purposes.
  • Collaborate with Accounting Department to ensure invoices are processed in a timely manner and accurately and resolve any discrepancy between billing and cash receipts.
  • Document process in narrative, required for Sarbanes Oxley, and review it periodically.
  • Advise Station Manager of the work status of any issues or discrepancies, such as labor issues, workflow issues, and government issues that cannot be easily resolved by a supervisor.
  • Partner with Road Feeder Service (RFS) team on invoice reconciliation. Review refuted invoices in Descartes, and work with carriers, local station management, and RFS personnel to reconcile differences between invoice rates and contract rate.
  • Work with Accounts Payable to ensure invoices are updated accordingly for proper payment amount and entered correctly.
  • Review weekly report from a trucking vendor for discrepancies and update Descartes accordingly for chargeable weight, accessorial charges, etc.
Qualifications
  • Bachelor’s degree or equivalent work experience in airfreight operations and reporting 
  • 3-5 years of experience in airfreight operations and reporting
  • Experience formulating and filing cargo handling reports
  • Knowledge of CargoSpot or equivalent Cargo Management software required
  • Cargo handling experience is a plus.

  • Experienced in Microsoft office software, specifically in data base, spreadsheets and word processing.

The position will manage sales negotiations with key customers to achieve target revenue, volume commitments and the delivery of strategic account objectives as per customer strategy and account plan across all regions, in concert with leaders in the Americas and Asia Pacific.

Responsibilities
  • Accountable for assigned sales revenue with USA Pinnacle partners, covering the lower 48 states, Canada, Mexico, and Asia Pacific regions, by developing and implementing Business Sales Strategy and Marketing Plan to optimize revenue opportunities, maximize Polar Air Cargo’s presence in the market, in alignment with our network growth.
  • Plan and execute selling activities, including consistently engage and attend in face to face weekly visits, monthly and quarterly business review meetings with key accounts.
  • Coordinate and manage all key account RFP/RFQs together with the Key Accounts team and revenue management team.
  • Communicate initiatives and progress on each Key Account to local sales and operations teams every month to fully brief the teams of Key Accounts activities on progress and requirements.
  • Identify and develop new businesses based on new network services or market demand for new industry segments for all lines of product offerings with a focus on long term business opportunities and complement to Polar’s global business goal.
  • Establish relationships with new customers – freight forwarders, airlines and direct shippers.
  • Serve, maintain and grow the +$300M business with our Global Pinnacle partners in alignment with our network growth.
  • Propose strategies on approaching top-market players for global framework incentive agreement based on purchased database and analysis, market intelligence and regional contacts, and engagement with local sales and operations teams to support key account managements.
  • Work hand in hand together with sales and ground operation teams to troubleshoot irregularities and service-related issues on behalf of our key accounts.
  • Regularly evaluate and feedback on plans, procedures and practices, and recommend appropriate changes if needed.
  • Manage Salesforce.com updates for Americas Region customers and information.
  • Support marketing efforts of Polar for the regional and global accounts.
Qualifications
  • Bachelor Degree or equivalent work experience.
  • Minimum 8 years’ experience in a sales role, preferably with in-depth knowledge of cargo commercial airline sales and marketing.
  • Must have experience managing a revenue budget as it relates to customer growth or customer revenue.
  • A proven record of performance in sales with key account management experience as well as management of a team.
  • An experienced and proven negotiator with strong decision-making and problem-solving skills.
  • Excellent relationship building and interpersonal skills together with strong commercial acumen, focus on dotted line relationships with Regional and Local account managers.
  • Ability to spot and interpret market trends, provide direct feedback in profit and revenue performance.
  • Ability to independently organize and perform multiple assignments with time constraints and firm deadlines.
  • Display overall excellent communication (internal and external), management and influencing skills to interact with all levels in the organization.
  • Proficient with Microsoft Office, experience with Salesforce would be preferable.
  • Effective communication skills in spoken and written English are essential.
  • Ability to travel both domestic and international at least 50% of the time.

Overview

Develop and continuously improve process for calculating and collecting revenue for the LAX facility.   Implement and monitor procedures and services that will ensure all revenue at the LAX facility is captured and reported accurately.  Act as the primary point of contact communication for revenue reconciliation at LAX.  Monitor Polar's revenue generation at LAX and coordinate with Polar Air Cargo Worldwide Revenue Accounting group to ensure invoices are expedited in a timely manner.  Provide general supervision of the Office, Warehouse and Ramp.

Responsibilities
  • Responsible for the developing and continuous improvement of process for calculating and collecting revenue for:
    • Import Service Fees
    • Storage fees
  • Track and report cargo volumes handled for customers at the LAX facility .Instruct vendors on how to follow the process related to revenue capture and reporting, to ensure the maximum revenues are captured for the company for billing purposes.
  • Maintain, support and improve the overall invoicing for the LAX facility, and keeps vendors aware of any updates and changes to the process.
  • Utilize Cargo Management Software (CargoSpot) with accurate data.
  • Coordinate with Accounting Dept. to ensure invoices are processed in a timely manner, and are expedited as necessary.
  • Oversee the daily import and export operations at LAX in regards to data entry, document control, and customs reporting.
  • Advise Station Managers of the work status of any issues or discrepancies, such as labor issues, workflow issues, and government issues that cannot be easily resolved by a supervisor.
  • Assist with the supervision of the warehouse
Qualifications
  • Bachelor’s degree or equivalent work experience in airfreight operations and reporting 
  • 3-5 years of experience in airfreight operations and reporting
  • Experience formulating and filing cargo handling reports
  • Knowledge of CargoSpot or equivalent Cargo Management software required
  • Cargo handling experience is a plus.

  • Manage overall allotment performance that includes entering and maintaining allotments in the cargo system
  • Handle complaints in line with the company policy, escalate for management review for any out of scope situations
  • Input and collaborate with internal teams to determine or develop optimum products and logistics solutions for customers
  • Actively carry out promotional and loyalty programs as directed, as well as promoting emerging technology such as eUsage, e-AWB
  • Create documentation, ensure accurate and compliant record keeping in designated systems (i.e. Salesforce, AC/DC, Sky Pallet, Cargo Spot, Special Load requests)
Qualifications
  • Bachelor’s Degree or related experience is preferred
  • 2+ years customer facing direct sales experience, experience in cargo customer service will be preferred
  • Proficient in Microsoft Office suite of programs (Outlook, Word, Excel, Powerpoint)
  • Availability to work on a flexible schedule (weekends, holidays) in shifts
  • Demonstrated ability of customer service skills, interacting with customers and being client focused
